Creating a workspace and choosing its data

How to choose the data a new workspace uses, how to read who can see its results, the workspace limits, and other places to start from.

On this page

The portal screens are in development. Their words and layout may still change; the commands behind the buttons are already built.

Creating a workspace takes one decision: the data this workspace uses. That choice decides who can see the workspace's results. IDs, paths, numbers and role names on this page are examples.

Step by step

  1. Step 1: Press [New workspace]

In [My workspaces], press [New workspace]. If you see “Claude is not connected yet. Connect it before you use Claude Code in a workspace.”, you can connect it first with [Open my account], or after creating the workspace.

  2. Step 2: Choose the data

Under “Data this workspace uses”, tick the folders and tables you need. “All my data” at the top is ticked to start with, so keep only what this project needs. Colleagues' releases are under the “Releases” group. The search field finds items by name or path.

  3. Step 3: Check who can see the results

Each tick updates “Who can see this workspace's results” at once, and pointing at an item shows the number it would leave before you tick it. How to read it is below.

  4. Step 4: Name it and create it

Optionally fill in “Name (optional)” with a name you will recognize in your list, then press [Create workspace]. You see “Created workspace: ws-0012”, and the new workspace appears in the list as “Off”.

Runs when pressed

ws create kim --data /images/ct_2024 /tables/patients
The pointer rests on /tables/labs: the two people who would no longer see the results are hatched. This is an example, drawn from the app in development.
Command console App in development
ws create kim --data /images/ct_2024 /tables/patients
Created workspace: ws-0012 (1,252 visible files)Who can see this workspace's results: 4 of 31 people. Admins can always see.Condition: one of ct_research or imaging_all and one of ehr_basic or ehr_fullInternet rules: Packages (packages)
With “All my data” left as it is, the command carries no data list. This is an example, drawn from the app in development.

Reading who can see

“Who can see this workspace's results” is everyone who may see all the data this workspace uses. Only they can see what you release from it. Taking the picture above as the example:

  • 4 of 31 people. Of the 31 enabled accounts that are not admins, 4 can see the results.
  • The strip. Each cell is one person. Filled cells can see; hatched cells would no longer see if the data you point at were added; empty cells cannot see. No names are shown.
  • The preview. Pointing at an item tells you, for example: “Adding this data narrows who can see the results from 4 to 2: /tables/labs”
  • When nobody is left. You see “As it is, only admins can see the results”. You can still create the workspace, but colleagues will not be able to see what you release.
  • Admins. Admins can always see.

“Roles needed”, folded under the number, shows the condition. It has one or more lines of roles, and a person needs at least one role from each line. In the example: one of ct_research or imaging_all, and one of ehr_basic or ehr_full.

What to choose

  • Only what you need. The more data you choose, the fewer people can see the results, and data you add cannot be taken out again.
  • One workspace per project. Each workspace has its own data and its own audience.
  • You can add later. If something is missing, use Add data.
  • At least one item. With nothing ticked you see “Choose at least one item of data. A workspace cannot be created without data.”
  • When a subfolder cannot be left out. If you see “The folder above has files of its own, so this item can't be left out by itself.”, untick the folder above and choose what you need inside it.

Other places to start

  • From My data. Choose an item in [My data] and press [Create workspace]: the New workspace page opens with that data already chosen.
  • From a share page. On a colleague's release, [Create workspace] starts a workspace that uses it.

When you cannot see any data

If you see “You cannot see any data yet. Send an admin the data you need and your ID (kim).”, an admin has to give you a role before any data appears. Click your ID to copy it.

Workspace limits

There is a limit on workspaces that are not archived and on workspaces that run at the same time. The defaults are 10 and 2, and an institution can change them; admins have no limit.

At a limit you see “The workspace limit is reached.” or “The running workspace limit is reached.”, and the reason lists the workspaces that count and what to do. Archive or stop one you are not using.

What admins decide

Internet rules, GPUs and the environment image are set by an admin. When you start a workspace, [Start with settings] lets you choose CPU cores and memory within the admin's limits.
